Day shift

The administrative assistant is responsible for registering patients who come to the Southeast Cancer Center for radiation oncology, infusion services, medical oncology as well as Southeast Imaging. The administrative assistant is responsible for entering insurance and demographic information about each patient, ensuring that the patient’s insurance is current / active, and communicating any changes in the patient’s insurance with the Cancer Center team. Help the porter to meet and greet patients and guide them to their appointments


  • Responsible for the accurate and precise compilation of information on each patient registered for outpatient care at Southeast Health
  • Responsible for the patient’s right to privacy and confidentiality
  • Complete pre-registration and registration for outpatients
  • Responsible for obtaining signed consent (consent for treatment, responsible party and granting of insurance benefits)
  • Answer office phone quickly and courteously
  • Perform office duties with awareness of what needs to be done and how to accomplish it.
  • Keep up to date with changes in policies and procedures
  • Performs regular work with little or no direction and supervision
  • Handle business inquiries satisfactorily
  • Responsible for recalling calls to patients who make appointments at the Cancer Center and document the calls
  • Mentor new staff on patient experience
  • Use the Cancer Center’s electronic medical record to:
  • Wait patient at the appropriate place
  • Enter demographic and insurance information if needed
  • Take the patient’s photo and add it to the patient’s medical record
  • Is proactive in identifying ways to improve patient flow, efficiency and patient experience
  • Guide patients to their destination if no volunteer is present and introduce the patient by name to the next staff member who will contact the patient
  • Provide a source of inspiration for the patient and the family
  • Greet each patient / family by actively liaising with the patient / family during the registration process:
  • Address the patient by name during the registration process
  • Make eye contact during the registration process
  • Refer appropriately to other disciplines during the registration process, as the patient’s need is proven (ie Journey Guide, Social Services)
  • Duties require interaction with different patient age groups, i.e. newborns, children, adolescents, adults and the elderly, and require recognition that different age groups require specialized attention or care
  • Perform other duties as assigned


  • High school graduate or equivalent
  • Must have typing skills and familiarity with office machines
  • Knowledge of medical terminology preferred
  • Must have good skills and communication skills
  • Experience working in a healthcare environment is preferred
  • Must be able to read, write and speak English
