Main function of the work:

  • To provide proactive executive support to the EMEA Head of Banking & Capital Markets function in their day-to-day business operations
  • Focus on an inclusive and partnership-based approach to communication and support exchange for the EMEA Executive Leadership Team

(Note: In addition to these functions, employees must perform other tasks that may be reasonably required)

Responsibilities:
Support for executive assistants:

  • Complex diary and mailbox management
  • Ensure that meetings and activities are scheduled effectively
  • Travel bookings using the online Concur travel booking tool, which ensures that corporate travel policies are adhered to
  • Timely processing and submission of monthly expenses, which ensures that the policy is always adhered to
  • Provide administrative assistance on projects, preparation of committee / board, etc.
  • Coordinate visitor schedules, reception and access requests
  • Manage, create and distribute reports and meeting documents as required; take and distribute meeting minutes for LOB
  • Answer and direct phone calls, visitors and other internal team members; coordinates and supports the setting up and execution of meetings
  • Perform complex administrative tasks as required
  • Work with support teams for any technology, facilities or support needs that arise for the business
  • Supports event planning and management teams for select charity, client or office events
  • Provide, if necessary, backup of EA support to the EMEA Regional Executive team
  • Performs proxy roll for various systems and internal approvals
  • Maintain distribution lists
  • Monthly update of the organization charts of the EMEA Banking & Capital Markets
  • Represent the office with competence and professionalism
  • Work according to the highest standards of confidentiality, discretion and diplomacy
  • Use initiative to resolve common issues and queries quickly and efficiently
  • Compile invoices and process as required

Market Skills and Certificates

Skills / experience required:

  • Experience with C-Suite-level driver support
  • Excellent oral and written communication skills with the ability to think logically and consider alternatives to offer practical solutions based on a broad understanding of relevant factors
  • Dynamic, highly motivated, purposeful and professionally dedicated at all times
  • Excellent organizational skills with the ability to use multi-task and initiative
  • Ability to work under conflicting priorities and pressures; role often requires a high degree of flexibility and reprioritization at short notice
  • Proven track record of consistently achieving and exceeding goals and achieving excellent performance
  • Extensive experience to an advanced level of using all Microsoft Office applications, e.g. PowerPoint for complex presentations, Outlook for managing multiple diaries, Excel and Word
  • Experience working in a complex multinational organization
  • Experience in a financial services organization is essential
  • Resilient, proactive and practical with a can-do attitude
  • Careful approach with great attention to detail
  • Experience taking minutes of meetings
