About the role
We are currently looking for an experienced personal / executive assistant to join our transformation management team to assist our transformation officer with administrative related tasks.
Managing the Executive Committee’s day-to-day calendar, including scheduling meetings, handling telephone calls and prioritizing appointments where applicable.
Preparation, formatting and editing of information for internal and external communication – memos, emails, PowerPoint presentations, reports, etc.
Keeping records and other documents.
Complete expense reports, handle petty cash and manage invoice payments for managers.
Book and arrange business trips, transport and accommodation.
Act as a gatekeeper and escalate relevant information to management members if necessary.
Take minutes during meetings.
Maintaining comprehensive and accurate corporate records, documents and reports.
Interaction with other functions as and when required (eg IT team, procurement team).
Assist managers with a variety of projects and processes as needed.
Manage and order stationary
Bachelor’s degree in any field
Minimum experience and knowledge:
At least 3-5 years experience in the executive assistant
Fluent English (excellent written and oral communication skills)
MS Office knowledge (MS Word, MS PowerPoint, MS Excel is essential)
Familiarity with office appliances and applications (eg Business Phones, Copiers, Scanners, etc.)
Job-specific / technical skills required to complete the tasks:
The ability to multitask and prioritize tasks
Excellent time management skills
Attention to detail
The ability to work effectively with minimal supervision
Very strong interpersonal skills and the ability to build stakeholder relationships
