Job description: The purchasing assistant is responsible for researching new suppliers, tracking deliveries, and updating order records (e.g., dates, invoices, and discounts). He / she must make cost-effective purchases and ensure that the business maintains a complete inventory.

Job responsibilities

  • Perform administrative and support activities to make the purchasing department function effectively
  • Monitor inventory levels, identify purchasing needs, track order and ensure timely delivery of materials and inventory
  • Manage and produce accurate formal reports according to the amount of material according to the project requirements
  • Build MR to be sent to the purchasing department, link to production / store / purchase
  • Ensure that the production team shares the MR in a timely manner to avoid material stock delays
  • Report additional MR and understand why we buy more than planned, breaks, errors in the first MR, quality issues
  • Work with sellers to place orders for the products and raw materials needed according to the project
  • Assist and support the processing of orders at the purchasing department
  • Assist and support the accounting team responsible for maintaining a well-organized and accurate accounting function
  • To manage the day-to-day operations of the accounting department
  • To manage debtors (account payments, salaries, petty cash, etc.) and debtors on time by means of cash / check / gift voucher
  • To compile and maintain fiscal files and records to document transactions
  • To maintain and reconcile cash and financial accounts
  • To maintain spreadsheets for monitoring and analyzing accounting data and compiling financial reports
  • To compile the account table, you must assign the entries to the correct accounts to ensure that the correct accounting methods, principles and policies are followed
  • To complete and coordinate annual audits and make recommendations for improving procedures and systems to initiate corrective actions
  • To allocate cash to different departments / divisions and ensure that the direct staff comply with it
  • To comply with ISO 9001 and ISO 14001 policies and procedures

REQUIREMENTS

Work skills and qualification

  • Minimum 2-3 years in accounting and / or purchases or acquisitions
  • Diploma or any certificate course related to Accounting or Business Management
  • Excellent organizational and administrative skills with attention to detail
  • Effective oral and written communication skills
  • Thorough knowledge and understanding of the accounting principles, practices, standards and laws and regulations
  • Thorough knowledge of MS Office and accounting software and databases
  • Proficiency in the analysis and manipulation of large amounts of data
  • UAE driver’s license preferred
