Job description: Duties:

This position will support three divisions: Tax – 25%, Global Internal Audit – 25%, BPITS (Business Process Innovation and Technology Strategy) – 25%

1. Manage the schedule and calendar of the management with attention to accuracy and detail, including keeping the executive management informed of calendar changes and change requests

2. Use all computer programs relevant to the job to support the development of correspondence, presentations, such as the detection and graphing of metric data, and to perform data entry and report generation in support of a department, significant organizational group or executive management

3. Ensure the preparation of information, documents and logistics for the assigned department, important organizational group or management at executive level

4. Carry out general administrative activities, including detecting and directing telephone calls, filing as well as compiling and typing general correspondence under limited guidance

5. Plan domestic and international travel in accordance with existing policies and procedures, to optimize the use of the driver’s time and schedule

6. Plan and conduct meetings and events with some supervision

Tax department’s most important needs:

Compile details and receipts for some departments. wide expense reports

Debtors system activities and tracking

Certain administrative and logistical work for tax activities on paper files

The key needs of the global internal audit department:

New VP on board for this team, so there will be lots of scheduling activities to meet everyone, etc.

Other activities as required

The main needs of the BPITS department:

Calendar scheduling – VP meets many different partners

To quickly resolve scheduling conflicts

Tickets coming from IT are identified as something that the BPI team needs to solve – determine which BPI team member to engage
Skills:

Experience in managing multiple calendars is required

Very strict attention to detail

Ability to work in a fast, dynamic work environment

Experience with Concur is preferred

Experience with billing payment systems is preferred

Additional skills: ⿢ Proven expertise in MS Office Suite ⿢ Excellent written and verbal communication skills and interpersonal relationship skills ⿢ Extensive knowledge and understanding of Edwards policies, procedures and administrative requirements ⿢ Advanced proficiency in Microsoft Office Suite including Word, Excel and PowerPoint ⿢ Excellent written and oral communication skills, including negotiation and relationship management skills ⿢ Advanced problem-solving skills ⿢ Ability to manage complex travel arrangements, in line with overall time commitments and to support time management optimization ⿢ Complete tasks in inventive and effective ways manage with the utmost discretion ⿢ Work autonomously within established procedures and practices ⿢ Ability to build and maintain strong relationships across the organization to influence and achieve goals ⿢ Ability ë to work in a fast-paced, dynamic work environment ⿢ Strict attention to detail ⿢ Knowledge of and compliance with EW administrative policies and procedures ⿢ Ability to communicate professionally with all organizational levels ⿢ Must be in a team environment, including interdepartmental teams, with limited direction can work
Education:

Education and experience: HS Diploma or equivalent 6 years experience directly related to, among other things, administrative support

EXCELLENT MULTI-TASKETER, DETAIL ORIENTED, CALENDAR MANAGEMENT, PROCESS INVOICES, EDITION REPORT PROCESSING
