Job description: Provide administrative and project support to the Senior Manager (s); including map audits, outcome measurement and evaluation, data processing and simple reporting;

The design and maintenance of electronic and paper office filing systems;

Coordinate and arrange meetings, including scheduling meetings; booking of meeting rooms; compiling and forwarding agendas and documents; take a minute

Assistance and coordination of projects and initiatives in support of the portfolio;

Ensure that the Senior Manager (s) have the necessary documentation for scheduled meetings;

Target and respond to telephonic and personal inquiries from a variety of internal and external contacts;

Compile memoranda, spreadsheets and other documentation needed to support day-to-day business operations;

Participate in the preparation of policies and procedures, forms and guidelines;

Communicate with external parties on behalf of the Senior Manager (s);

Prepare PowerPoint presentations as needed;

As a member of the team working to provide efficient, effective and quality service, in line with the general vision, mission and values ​​of home and community care support services in Central East;

Perform other duties as assigned or required.

Minimum qualifications and job requirements:

Secondary education plus additional courses; Six months to one year experience in a similar administrative role;

Demonstrates knowledge and commitment to continuous principles and practices for quality improvement, including the ability to facilitate innovation and creativity;

Demonstrates excellent working knowledge of Microsoft Office (Word, Outlook, Power Point and Excel) with the ability to create reports and presentations with visual additions such as charts, graphs, tables, flow charts and diagrams;

The ability to handle sensitive and confidential information in a discreet and professional manner;

Excellent time management and organizational skills combined with the ability to prioritize and balance workload requirements, with competitive deadlines with minimal oversight;

Excellent interpersonal, diplomacy, communication and presentation skills;

Experience in effective dealing with the public; focus on customer service shown;

Exemplary telephone skills, legible handwriting and good analytical / organizational skills to meet deadlines and solve problems;

Knowledge of community resources;

Advanced skills in conflict resolution;

Demonstrate the ability to work well with others;

Demonstrate the ability to work in and respond to a dynamic and changing environment;

Excellent oral and written communication skills and effective interpersonal skills.

Working environment and working hours:

08:30 – 16:30 Monday to Friday subject to change according to the Collective Agreement.

Position location and travel:

Travel to all seven (7) branches of the Home and Community Care Support Services Central-East region may be required. A valid driver’s license and access to a vehicle are preferred.
