General position description:

The proposal and marketing assistant is responsible for providing administrative support to the proposal and business development head and the management team upon request. This role is responsible for the marketing, branding and advertising efforts, opportunities and outreach initiatives of the firm, under the guidance and general supervision of the proposal and business development head. In addition, this role provides administrative support to a diverse portfolio that includes the life cycle of the proposal, including survey, bid, proposal management and submission, follow-up requirements of federal clients and award or loss / debrief. This role works closely with the proposal and business development head and all management levels in the organization, as well as suppliers. The following are representative, but not all-encompassing, of the knowledge, skills and competencies required to fulfill in this role.

Important duties and responsibilities:


Carry out the final revision of suggestions to address all compliance, shortcomings, gaps, spelling, grammar, formatting, consistency and general word processing.

Assist the proposal and business development leader during the proposal process to include the following: consulting agencies, content development, compliance and maintenance matrix creation, proofreading and production and submission per request specifications.

Use SharePoint and MS Office Suite (Word, Excel, and PowerPoint) to create, format, document, and maintain capability statements, bid / no bid logs, proposal tracking logs, compliance matrices, resumes, past performance, and suggested documents.

Assist if necessary to coordinate the electronic submission of the proposal package, according to requests, and print and bind proposals if necessary.


Conduct marketing and communications initiatives, including updating website and intranet content, developing ideas, and creating event advertising and social media content and strategies.

Manage internal and external web content, including the company’s website and social media platforms.

Ensure brand uniformity by creating and maintaining branding materials for new employee packages, business recruitment packages and in-house jobs, while coordinating designs, marketing, branding and event advertising, with theme-based ideas, creative design for advertising and social media placements.

Create, develop and maintain social media content and the social media content plan.

Follow, monitor and execute existing marketing plans.

Coordinate the development of departmental marketing materials.

Business Development (BD)

Do daily searches for online platforms for possible contract opportunities.

Assist with the coordination of practice and operational opportunities, which include two (2) national conferences that require travel, two (2) local conferences, and a minimum of one (1) day for local community service.

Assist with the maintenance of the storage space for shared BD documents, including target agencies, core services, agency predictions, identified opportunities, and other data collected.

Prepare and attend BD meetings and capture / initiate important action items.

Use GovTribe account for survey, BD and proposal research.

Draw procurement forecasts for federal agencies.

Develop and train staff on GovTribe, white papers, capability statements, blogs, social media use.

Required training:

Bachelor’s degree in English, Journalism, Marketing, Business Communication or related subjects are preferred

APMP or Marketing Certification Required

Required experience:

Passionate and very proficient in writing, proofreading and communication

Experience in creating content for social media or other publications is preferred

Requires independent worker with strong organizational and multi-tasking skills

Familiarize yourself with Facebook, Twitter, LinkedIn and Instagram for business pages

Graphic and branding experience preferred

Advanced knowledge of Microsoft Office Suite and word processing required

Must be able and willing to work long hours (possible weekends) with limited notice to complete deadline proposals

Desktop Publishing (Adobe Illustrator) skills are a plus

The ability to learn technical systems quickly and efficiently

Experience in response to federal acquisitions preferred

Other requirements:

Must be able to work multiple times and work well under strict deadlines

Knowledge of Canva and Squarespace, a plus

Excellent attention to detail, a pragmatic approach and a spark of creativity.

Ability to deal with all levels of staff

Proficient in using Microsoft Excel, Word, PowerPoint and Adobe

Experience with SharePoint, Office 365 and Microsoft Teams is a plus

  • Working week: Monday to Friday, 8 hours a day, a few evening and weekend hours may be required to achieve the results.
