Purpose and responsibilities of the work

The responsibilities of a school administrative assistant include:

  • Provides administrative and administrative support to the departmental chairpersons of the school and members of the faculty
  • Answer all incoming phone calls, transfer calls to different offices and take messages for the faculty and place outgoing calls as requested
  • Use a variety of software packages, such as Microsoft Word, Outlook, Power Point, Excel, Access, etc., to create correspondence and documents and maintain presentations, records, spreadsheets, and databases.
  • To compile correspondence and documents and maintain presentations, records, spreadsheets and databases.
  • Book class and conference rooms.
  • Arrange meetings, take minutes and keep notes.
  • Stationery and equipment order and maintain and comply with all requests of the faculty.
  • Sort and distribute incoming mail and organize and send outgoing mail.
  • Collection and summarization of data for assignments, reports and correspondence of computerized tracking system and manuals to provide accurate information.
  • Maintaining classroom key distribution and record keeping.

Minimum qualification and training

Diploma in a field that matches the specific assignment.

Required knowledge and skills

  • Business angels, spelling, grammar and punctuation are needed to compile and proofread simple written documents.
  • Must have good communication, organizational, interpersonal and problem solving skills.
  • The ability to communicate effectively and to help others.
  • The ability to keep administrative records and compile simple reports.

Work experience

1-2 years secretarial experience.

Language proficiency required

Ideally, English and Arabic are fluent
